The Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee are organised under the EU-funded EU4Digital Initiative over 24 and 25 October, and they are dedicated to the topic of digital transformation in the Eastern Partnership. The Eastern Partnership Digital Conference aims at reviewing the Eastern Partnership digital policy agenda and upcoming priorities. EU4Digital Phase II Kick-off and Steering Committee will mark the official kick-off of the second phase of the EU4Digital Facility programme.
The Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee are being implemented by Ernst & Young Baltic UAB (company code: 110878442, address: Aukstaiciu str. 7, LT-11341 Vilnius, Lithuania) in collaboration with PRACSIS (Place Communale d'Auderghem 8, B-1160 Brussels, Belgium).
The European Commission, DG NEAR R4 is the Data Controller and Ernst & Young Baltic UAB (hereafter referred to as the EU4Digital Facility Team) acts under instructions and on behalf of the European Commission as Data Processor for the Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee.
Any personal data related to the Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee is processed in accordance with Regulation (EU) 2018/1725. Data subjects have the right to have recourse (i.e. can lodge a complaint) to the European Data Protection Supervisor (edps@edps.europa.eu) if they consider that their rights under Regulation (EU) 2018/1725 have been infringed as a result of the processing of their personal data by the Data Controller.

We exclusively collect and process your personal data in order to allow your attendance to the Eastern Partnership Digital Conference and (or) EU4Digital Phase II Kick-off and Steering Committee and to gather related statistics.
The Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee will be audio recorded for the purpose of maintaining an accurate record of the discussion that will be a reference for any reports derived from the discussion.
The Eastern Partnership Digital Conference will be video recorded for the purpose of publishing.

We inform that your personal data will be retained for the duration of the second phase of the EU4Digital Facility programme (2022-2025) and, if so required for the purposes of the EU4Digital Facility programme, for the reasonable period thereafter.
6. Who has access to your personal data and to whom is it disclosed?
Your personal data can be accessed by the Data Controller and the Data Processor. Under the authority of the Data Processor, the data can also be accessed by PRACSIS. PRACSIS, a Brussels-based communications and public relations agency, operates as a subcontractor hired by the Data Processor for the purpose of the implementation of the Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee.
7. How do we protect and safeguard your personal data?
Your personal data is stored in a database at PRACSIS. All processing operations are carried out pursuant to the Commission Decision 2017/46 of 10 January 2017 on the security of communication and information systems in the European Commission. The Commission’s contractors are bound by the confidentiality obligations and specific contractual clause for any processing operations of your data on behalf of the Commission.
We are committed to making sure your personal data is secure. To prevent unauthorized access or disclosure, the Data Processor and its subcontractor have technical and organisational measures to safeguard and secure your personal data. All personnel and third parties engaged to process your personal data are obliged to respect your data’s confidentiality.
Unauthorized access to personal data has been ensured through the implementation of a restricted access policy, limiting access to the database containing personal data to accredited persons based on necessity for the execution of their tasks.
We are committed to ensuring that your information is secure. To prevent unauthorized access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
8. What are your rights and how can you exercise them?
You have specific rights as a ‘data subject’ under Chapter III (Articles 14-25) of Regulation (EU) 2018/1725, in particular the right to access your personal data and to rectify them in case your personal data are inaccurate or incomplete.
Where applicable, you have the right to erase your personal data, to restrict the processing of your personal data, to object to the processing, and the right to data portability.
You have the right to object to the processing of your personal data, which is lawfully carried out pursuant to Article 5(1)(a) on grounds relating to your particular situation.
Where you have consented to provide your personal data to the European Commission or directly to the EU4Digital Facility Team for the organisation of the Eastern Partnership Digital Conference and EU4Digital Phase II Kick-off and Steering Committee, you can withdraw your consent at any time by notifying the EU4Digital Facility Team or the Data Controller. The withdrawal will not affect the lawfulness of the processing carried out before you have withdrawn the consent.
